This policy explains what information CallAgents AI collects, why we collect it, how we use it, and what your rights are under UK GDPR and the Data Protection Act 2018.

2. What information we collect
We collect only what we need to talk to you about CallAgents AI and to provide the service if you become a customer.
- Sign-up information. When you start a free trial or sign up for CallAgents AI we collect your name, business name, email address, phone number, business type and a short description of your call-handling problem.
- Technical information. When you submit the form we record your IP address and browser user agent for security and abuse prevention.
- Service data (customers only). If you become a customer, we process call recordings, transcripts, caller numbers and the contents of calls handled by CallAgents AI on your behalf. We process this data as a data processor on your instructions — it remains your data.
3. How we use your information
- To contact you about your trial and set up your account.
- To set you up as a customer if you decide to go ahead.
- To improve the service.
- To comply with our legal obligations.
We do not sell your data. We do not share it with advertisers. We do not send unrelated marketing.
4. Our lawful basis
We rely on the following lawful bases under UK GDPR:
- Consent — when you sign up, you give us your details so we can contact you. You can withdraw this at any time.
- Contract — to provide the service to customers and fulfil our agreement with you.
- Legitimate interests — to keep the service secure and prevent abuse.
- Legal obligation — where we have to keep records for tax, accounting or law-enforcement reasons.
5. Who we share your information with
We use a small number of trusted service providers to run CallAgents AI. These are data processors who only act on our instructions:
- Resend — to send transactional email (sign-up confirmations and account notifications).
- Our hosting provider — to run the CallAgents AI service. We use UK-based infrastructure for all customer data.
- Voice and telephony providers — to receive and process customer calls when the service is live. Specific suppliers will be disclosed in your customer agreement.
We do not transfer personal data outside the UK without an appropriate safeguard in place (such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses).
6. How long we keep your information
- Sign-up data — kept while your account is active and for 30 days after cancellation, unless you ask us to delete it sooner.
- Customer data — kept for the life of your contract plus the period required by law (typically six years for billing and tax records).
- Call recordings and transcripts — kept according to your customer agreement. You can configure shorter retention if you wish.
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Have inaccurate data corrected.
- Have your data erased (the "right to be forgotten").
- Restrict or object to processing.
- Receive your data in a portable format.
- Withdraw consent at any time.

8. Cookies and tracking
This website does not use third-party tracking cookies or advertising pixels. If we add analytics later, we will use a privacy-respecting tool that doesn't require a cookie banner, and we will update this policy.
9. Security
We protect your data with industry-standard measures: TLS encryption in transit, AES-256 encryption at rest, restricted access on a need-to-know basis, regular backups and audit logging. No system is ever 100% secure, but we take this seriously and will tell you promptly if your data is ever affected by a breach.
10. How to complain
If you're not happy with how we've handled your data, please email us first so we can put it right. You also have the right to complain to the UK's Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
If we make material changes we'll update the date at the top and, where appropriate, contact you directly. Continued use of CallAgents AI after a change means you accept the updated policy.
